Reservations
and Payment Early reservations and service requests are encouraged
as we typically fill program slots 5 to 8 months in advance. All reservations
require a 20% non-refundable deposit and a signed Medical Information
form. Full payment is required 45 days before departure or as indicated
on the invoice. Personal checks must be received 60 days in advance of
departure. All payments must be in the form of U.S. dollars. If payment
and appropriate documentation are not received when due, Tours Trips Treks
& Travel reserves the right to treat the reservation as canceled by
the client.
Cancellation
by Client If written notification of cancellation is received
more than 60 days prior to departure of the trip, full payment minus the
20% deposit will be refunded. If written notification of cancellation
is received more than 30 days, but less than 60 days prior to departure
of the trip, full payment minus the 20% deposit can be credited to other
Tours Trips Treks & Travel trips. No refunds or credit for cancellation
within 30 days of trip departure. Tours Trips Treks & Travel trips
are sold as packages, and there will be no refunds to individuals who
leave a trip early, arrive late, or independently modify the trip itinerary.
Exceptions to the above cancellation policies cannot be made for any reason,
including weather and personal emergencies. Tours Trips Treks & Travel
STRONGLY RECOMMENDS THAT YOU PURCHASE A TRAVEL
INSURANCE POLICY THAT INCLUDES TRIP CANCELLATION AND INTERRUPTION INSURANCE.
Cancellation
by Tours Trips Treks & Travel Tours Trips Treks & Travel reserves the right to
cancel any trip or service agreement due to acts of nature and/or any
other occurrence out of our control associated with operating in a developing
nation. Tours Trips Treks & Travel rates are based on a minimum group
size that varies according to the specific program and is established
at time of trip quote. It is in your organization's best interest to request
tiered pricing if you anticipate large fluctuations in your program's
enrollment. Should a trip be under subscribed, we do everything we can
to make a trip go, even with as few as four participants. In such cases,
it will likely be necessary to increase rates. Final decision to re-quote
or cancel a trip due to insufficient sign ups is made 30 days prior to
departure. Should Tours Trips Treks & Travel cancel a trip for reasons
not related to undsubscription or fault on the part of your organization
to not provide timely payments or documention, your organization will
receive a full refund of all monies paid to us. Tours Trips Treks &
Travel is not responsible for additional expenses related to trip cancelation
not booked through us, such as airline, ground transportation or hotel
cancellations fees.
Pre-Departure
Package On receipt of your deposit, we will send you links
to our pre-departure information web-site that are not otherwise availalbe.
This will include a descriptive itinerary, a clothing and equipment checklist,
information about the Dominican culture, information on current medical
requirements, passport and tourist card requirements.
Trip
Modification We design our trips with a degree of flexibility, to
provide you with the best possible opportunity for exploring the Dominican
Republic. Therefore our itineraries may change due to weather, availability
of new accommodations or routes, problems with old routes, etc. Tours
Trips Treks & Travel reserves the right to change the itinerary due
to any factor in our endeavour to maintain trip integrity in the event
of adverse conditions.
What
is included Please refer to your unique trip itinerary or service
agreement for details related to inclusions.
What
is not included Unless otherwise stipulated in writing in your unique
trip itinerary or service agreement, airfare, airport transfers, soft
drinks, liquor, sleeping bags and pads, laundry, medical expenses, cost
of hospitalization or evacuation from remote areas, entry or departure
taxes, insurance, and gratuities for guides are not included in program
fees. Activities listed as optional in an itinerary or service agreement
generally require an additional fee. If the trip must be extended or itinerary
modified due to causes beyond Tours Trips Treks & Travels control,
all associated costs are not included. (In some cases, travel
insurance may cover these costs.)
Services
available Although Tours Trips Treks & Travel is not a travel
agent, we are happy to help book hotels and other tours, and can assist
with airline information. For an additional fee, specialized equipment
rentals, sleeping bag and pad rentals, and airport transfers are available.
Medical
Responsibilities Good physical and mental health are essential for the
enjoyment of these trips. Come in good condition. It is essential that
any participant with a medical condition requiring regular treatment or
which may be affected by vigorous activity, high altitude, heat, cold,
other natural phenomena, or foods, notify Tours Trips Treks & Travel,
in writing, in advance of the trip. All participants must carry their
own medical insurance, valid for the duration
of the trip.
